How to Reduce No-Shows at Your Med Spa or Salon
Every no-show is an hour you paid for and earned nothing from: the provider, the room, the front desk and the marketing that brought the client in. Most owners know no-shows hurt. Fewer have a system that actually stops them.
Start with a card on file
A card on file changes behavior more than any reminder. Clients who have committed a card treat the appointment as real. Collect it at booking, explain the policy in one friendly sentence, and make it standard for every new client.
Write a policy you will actually enforce
A cancellation policy that nobody enforces trains clients to ignore it. Pick a window you can live with, such as 24 or 48 hours, decide the fee, and give your front desk a script so they're comfortable applying it. Consistency matters more than the size of the fee.
Use reminders that ask for a reply
A reminder that only informs is easy to ignore. A reminder that asks the client to confirm creates a small commitment and tells you early who isn't coming. Send one a couple of days before and one the day before.
Keep a fill list
Some cancellations will happen anyway. A list of clients who want an earlier appointment turns a lost hour into a filled one. Text the list the moment a slot opens.
Measure it weekly
Track your no-show rate every week. When it moves, you'll know whether the policy is being enforced. When it stays low, you'll see exactly what it's worth.
